New York City Travel Guidelines for Delegates



*Note: the reimbursement guidelines pertain to only to official "delegates" (i.e., collegiate chapter archons, CKAs, committee/task force chairs, Supreme Council, etc.). Phi Sigma Sigma will only pay for the listed modes of transportation unless permission is granted in advance by HQ
. Phi Sigma Sigma does not pay for any travel expenses for non-delegates.



Phi Sigma Sigma sisters will be coming to NYC from across North America for Centennial Convention. Please thoroughly review this information for important details!  If you are traveling...

…by AIR

Help us determine the flights that will work best for your schedule this summer!  When completing your travel form (delegates only), you will need to provide two different flight options. Give us as much detail as possible (airline name, flight numbers, actual departure and arrival times, etc.). Note that we have a specific budget for each delegate and will contact you if your selections exceed the budgeted amount.

We ask that you look into the three airports closest to the New York City area:

  • Newark Liberty International Airport (EWR) **preferred**
    • Ground transportation
      1. Once you land, you will take the train from EWR to Penn Station. The approximate cost is $14. 
      2. Once you arrive at Penn Station, take a cab to the Crowne Plaza Hotel. The approximate cost will be less than $10, and all NYC cabs take all major credit cards. Be sure to get a receipt for both the train and the cab so that you can submit for reimbursement.
      3. Look for the Phi Sigma Sigma greeters at Penn Station on Wednesday, July 10, and Sunday, July 14, if you need assistance. 
  • LaGuardia Airport (LGA)
    • Ground transportation
      1. Once you land, you will take the NYC Airporter shuttle from LGA to Penn Station. The approximate cost is $16.  
      2. Once you arrive at Penn Station, take a cab to the Crowne Plaza Hotel. The approximate cost will be less than $10, and all NYC cabs take all major credit cards. Be sure to get a receipt for both the train and the cab so that you can submit for reimbursement.
      3. Look for the Phi Sigma Sigma greeters at Penn Station on Wednesday, July 10, and Sunday, July 14, if you need assistance. 

  • John F. Kennedy International Airport (JFK)
    • Ground transportation
      1. Once you land, you will take the NYC Airporter shuttle from JFK to Penn Station. The approximate cost is $16.  
      2. Once you arrive at Penn Station, take a cab to the Crowne Plaza Hotel. The approximate cost will be less than $10, and all NYC cabs take all major credit cards. Be sure to get a receipt for both the train and the cab so that you can submit for reimbursement.
      3. Look for the Phi Sigma Sigma greeters at Penn Station on Wednesday, July 10, and Sunday, July 14, if you need assistance. 

…by TRAIN or SUBWAY

 

If you are traveling to New York City by Amtrak, Phi Sigma Sigma will book your ticket for you. Please research what train you would like to take and provide that information on the travel form (delegates only).

We will not book NJ Transit, Long Island Rail Road (LIRR) Metro North or PATH train tickets, but we will reimburse you for these expenses. T&E vouchers (delegates only) will be available onsite for you to complete.

On Wednesday, July 10 and Sunday, July 14, we will have greeters located in Penn Station.

  • Ground transportation: Once you arrive at Penn Station, you will take a cab to the Crowne Plaza Hotel. The approximate cost is less than $10, and all NYC cabs take all major credit cards. You will need to get a receipt and voucher for it. 


… by CAR

Phi Sigma Sigma will not reimburse delegates for parking costs at the hotel during Centennial. Should you choose to drive into the city, this cost will be a personal expense.

  • Gas & Tolls:
    • Original receipts for gas are required in order to be reimbursed. If you are driving,you will need to turn in two receipts:
      • Fill up your gas tank before you leave for Convention. This receipt must be sent to show you had a full tank of gas when you started.
      • Fill up your tank when you return home. This receipt shows amount of gas used, and is what will be reimbursed.
    • Original receipts for tolls are required in order to be reimbursed. If you are using EZPass, you can log into the website and print a receipt.

    • Attach all receipts to your T&E Voucher (delegates only).

If you are traveling to New York City by bus, please contact your membership manager directly.


Miscellaneous Travel Expenses

Baggage fees, parking and mileage to/from your departure airport are a personal expense.

As instructed above, once you arrive in NYC, you may need to take a train or cab to the hotel, please plan to pay for this and fill out a T&E Voucher (delegates only) for reimbursement. Cab fare will be under $10 from Penn Station and all NYC cabs take all major credit cards.
